Pin Breaks UK Ltd Terms and Conditions

Any reference to either ‘us’ or ‘we’ in these Booking Conditions refers to Pin Breaks UK Ltd. “You” or “your” are references to the person making the booking and all members of the holiday party.

 

1. YOUR BOOKING
You must be at least 18 years old when you book with Pin Breaks UK Ltd. Your booking is made as a consumer and you acknowledge that no liability can be accepted for any business losses suffered or incurred by you. In order to secure your booking online (www.pinbreaks.co.uk) you will need to accept our online terms and conditions before paying the deposit to secure your team booking.

We will subsequently provide you with written confirmation of your booking along with a hard copy of our terms and conditions at this point we enter into a contract with you, the team organiser, which is subject to these Booking Conditions.

Any concerns or queries will be between the team organiser and Pin Breaks UK Ltd. The team organiser will assume responsibility for the whole party and the compliance with these rules of all party members.

We have the right to refuse any booking prior to the issue of our written confirmation and hard copy terms and conditions, and if we do this we will tell you in writing and promptly refund any money you have paid us. When your confirmation is received, the details must be checked carefully. If anything is not correct you should tell us immediately.

Bookings can also be made by requesting a hard copy of our booking form. We will also send you a hard copy of our terms and conditions. You will need to acknowledge our terms and conditions on your completed booking form before we can send you confirmation of your teams chosen weekend by return. To secure your booking send the completed form to us at Pin Breaks UK Ltd, 14 Andrew Road, Cogan, Penarth, Vale of Glamorgan, CF64 2NS.

 

2. BOOKING PROCESS

The booking process will be as follows:

Booking online:
a. Once you are prepared to accept the terms and conditions contact Pin Breaks UK to check availability of your chosen weekend break
b. Once your weekend has been confirmed as available a deposit for the team booking is required (see section 3 for details on payments)
c. Before paying your team deposit you will need accept our terms and conditions. You will also need to provide some basic information relating to your team, this will be requested as you proceed through the online booking process.
d. Upon Pin Breaks UK Ltd accepting the booking we will post and/or email you a booking form that will require additional information for you to complete and return, also a hard copy of our terms and conditions for your records.
e. Once your completed booking form and your deposit is received we will confirm your booking by post and/or email.
f. Further payments as per section 3 are subsequently to be made as per the schedule also outlined in section 3.

Booking by post/email:
a. Once you have contacted us expressing an interest to book we will send you a booking form along with a copy of our terms and conditions by post or email,
b. Once you are prepared to accept the terms and conditions contact Pin Breaks UK to check availability of your chosen weekend break
c. Once your weekend has been confirmed as available a deposit for the team booking is required (see section 3 for details on payments)
d. When returning your completed booking form, you will need to ensure that you have read and accept our terms and conditions by signing the relevant part of the booking form. The booking form will need you to provide some basic information relating to your team. If you choose to pay your deposit by cheque it will need to be returned with this form. Attentively you can pay your deposit by calling us on 02921 430023.
e. Once your completed booking form and your deposit is received we will confirm your booking by post and/or email.
f. Further payments as per section 3 are subsequently to be made as per the schedule also outlined in section 3.

 

3. PAYMENTS

A deposit of £10 of the booking price per team member is payable at the time of booking (see section 2). The balance of the booking cost must be received by us no later than 6 weeks before your chosen weekend (in the event of not paying by this date we reserve the right to cancel your booking as outlined in section 5). If you book less than 6 weeks before the arrival date, payment of the total cost is due straightaway.

The weekend can be paid for in the following ways:

a. By debit or credit card: Cards accepted are: Solo, Switch, Maestro, Visa and MasterCard. There is no charge for payment by debit cards. However, there is a standard 1.2% charge for all credit card transactions to reflect the charge made to us.

b. Cheques and postal orders: Cheques and postal orders should be made payable to Pin Breaks UK Ltd and sent to 14 Andrew Road, Cogan, Penarth, Vale of Glamorgan, CF64 2NS.

If your bank returns your payment to us unpaid, we reserve the right to make an administration charge of £25. You will be responsible for any bank charges you may incur.

 

4. YOUR RESPONSIBILITIES

The person making the booking is the lead name and organiser and is responsible for ensuring the following:

a. All information requested by us as part of the booking process is provided on behalf of the whole team and is accurate and complete. Please note that not disclosing all information that is relevant or complying with these terms may lead to loss of the booking and termination of this contract between us
b. Payments are made as outlined in section 3.
c. All team members are aware of these terms & conditions and comply accordingly.
d. The venue is suitable for your team.
e. Ensure between 10-20 players per team.
f. Inform us of any changes to team members. The final payment must be for at least 10 players per team booked.
g. All players are aged 18 or over at the time of the weekend
h. The appropriate travel insurance is taken out by you and your team members. To protect you and your team we strongly recommend that this is done.

 

5. CANCELLATIONS
Cancellations should be made in writing by the organiser, by post to Pin Breaks UK Ltd, 14 Andrew Road, Penarth, Vale of Glamorgan CF64 2NS, or by email to pinbreaksuk@gmail.com.

Cancellations:
Your team / individual will forfeit their deposit due to the cancellation. We will endeavour to resell the team / individual space, however if we are unable to do so the following cancellation charges will be made:

  • 10 to 8 weeks: 25% of total weekends booking cost
  • 8 to 6 weeks: 50% of total weekend booking cost
  • 6 to 4 weeks: 75% of total weekend booking cost
  • 4 weeks or less: 100% of total weekend booking cost

NB – In the event that the cancellation is for the team refunds will be based on minimum number of persons required per team, i.e. 10 per team. In the event that of an individual cancellation there will not be a refund if the team falls below the minimum number of persons required per team.

 

6. BOOKING ALTERATIONS

If you wish to make any changes to individuals attending, the lead organiser this can be done in writing to us. If you wish to change the weekend itself this can be applied for in writing and will be subject to availability.

 

7. HOTELS

We will send you a room booking confirmation form once we receive your initial enquiry and team deposit. We will try and meet your room type requests but they will be allocated on a first come first served basis and are subject to availability.
The hotel will allocate rooms according to their discretion. We will work with the hotels and try and keep parties together where possible but this may not always be achievable. Also, changes to rooms requested may occur due to circumstances outside our control.
Meal basis is Half Board at all venues, featuring an evening meal on Friday night, breakfast and evening meal Saturday and breakfast and Sunday Lunch on Sunday. NB – lunch on Saturday is not included.

 

8. PROMOTIONAL DISCOUNT CODES
Pin Breaks may from time to time issue Promotional Discount codes for either reductions towards the cost of a Pin Breaks weekend for an individual holiday or reductions towards the overall team cost of a weekend break. It is your responsibility to quote the relevant codes at the time of booking as these cannot be applied afterwards.

 

9. TRANSPORT BY COACH

Where applicable as stated in the brochure, the price includes return coach transport from selected areas to the venue. In the event of the suggested area being unsuitable, alternative transport options will be offered.

There is one pick up point per booking and it is your responsibility to ensure that all within the team are at the designated location at the stated time on the itinerary that will have been provided. We will not be responsible for any loss, damage, delay or misdirection of luggage or personal effects, and recommend appropriate travel insurance is taken out by your team group.

Please note that meals whilst travelling by coach are not included.

 

10. SPECIAL REQUESTS

The booking forms will provide the opportunity to advise us of any special requests for team members, e.g. dietary requirements, mobility requirements, etc. We will endeavour to support meeting those requirements and will confirm to you if they cannot be met. In the event that the request leads to additional expense we will pass on this cost to you.

 

11. PETS

In the interests of all teams we do not allow pets to be taken on our weekends

 

12. ITINERARY

We will send you your itinerary 4 weeks before your weekend and it will include all the details of pick up point and times (if applicable), playing schedule, rules, meal times and all other necessary information.

It is your responsible that your team follow the itinerary. We will not be held liable if you or your team misses events or meals through being late.

 

13. BEHAVIOUR
We want you and all the teams attending our weekends to enjoy themselves. In order for this we all have a part to play and you must remember that you and your team members are responsible for their own behaviour. As such, we ask that other guests, the coaches and hotels are treated with courtesy and respect.
If we, or another person in authority, believe you or your team’s actions could cause upset to other customers, our suppliers, staff, or put them in danger, or damage property, we reserve the right to end your weekend without any further provision of accommodation or transportation.
You and your team will be liable to reimburse any suppliers for the full cost of any damage you or your team may cause to accommodation or transport. It is your duty to report any damages or breakages to an appropriate person immediately.
We understand that you and your team may wish to consume alcohol as part of your weekend, however, we ask you do so responsibly. We are not responsible to you for any injury, loss or damage you suffer as a result of the consumption of alcohol or any other drug.

If we incur any expense as a result of your behaviour or that of your team, you will be obliged to compensate us for that expense.

 

14. WEEKEND CHANGES

The arrangements for your holiday will usually have been made many months in advance. Sometimes changes are unavoidable and we reserve the right to make them.

Most of these changes are likely to be minor and we will do our best to keep you informed. If, after booking and before departure, we make a significant change to your holiday you will have the option of withdrawing from the holiday.

 

15. DATA PROTECTION

In order to process your booking and to ensure that your weekend arrangements run smoothly and meet your requirements we need to use the information you provide such as name, address, any special needs/dietary requirements etc.

We take full responsibility for ensuring that proper measures are in place to protect your information. We must pass the information on to the relevant suppliers of your travel arrangements such as hotels, coach companies etc. We will not pass your information on to any other third parties. You are entitled to a copy of your information held by us. If you would like to see this, please contact us.

We retain your full contact details and other information in secure files and electronic storage facilities, we may use this information to contact you by mail, telephone or electronic means.

 

16. LIMITATION OF LIABILITIES

Nothing in these Terms and Conditions shall exclude or limit the liability of you or members of your booking for death or personal injury. Your liability for loss or harm is excluded or limited only where you are not at fault.
You will be liable for any damage or expenses incurred as a result of accidental or wilful damage to any part of the holiday components that you or a member of your team has caused.

 

17. INSURANCE

Pin Breaks UK Ltd is protected by the appropriate insurance, details of which can be provided upon request. Our insurers are Hiscox Underwriting Ltd. Policy Number 9322511.

 

18. RECORDING THE EVENTS

During your holiday we will take promotional photographs and films at the event which may be used on our website and for promotional purposes. You hereby agree to such use of our photographs and films.

 

19. PROBLEMS AND COMPLAINTS
Every effort has been made to ensure that you have an enjoyable and memorable weekend. If, however, you have any problem or cause for complaint it is essential that you contact us immediately so we can work to resolve it.

Should you wish to make a complaint you can contact us by any of the methods below and we will endeavour to provide a response as soon as possible.
