Pin Breaks UK Ltd values the personal data that it holds about it’s customers and this privacy policy aims to outline how that data will be handled and used.
What information do we collect?
To enable us to provide you with the weekend and to ensure that we can provide you with an enjoyable weekend experience for you and your teams we will collect personal information which may include your name, telephone number, email address, postal address, dietary requirements, and payment details (including bank account number and sort code).
We only collect and process sensitive personal data where it is critical for the delivery of the weekends and without which the product or service cannot be provided. We will therefore not seek your explicit consent to process this information as it is required by us to provide the weekend you have requested. If you object to use of this information, then we will be unable to offer you that product or service.
In addition to the above use of your personal data we hold contact details, names and addresses to market our weekends and any promotional offers that may be available.
How do we use your personal information?
We will use your personal information to
- Take payments for the weekend that you have chosen
- Provide the weekends that you have requested, to inform the Coach Companies and hotels with the information they require to provide the transport and hotel stay respectively.
- Communicate with you, including with details of forthcoming weekend events, activities and promotional offers
Only where you have provided us with consent to do so, we may also from time to time use your information to provide you with details of marketing or promotional opportunities and offers relating to our weekends and events.
Securing your personal information
We store all the information that you provide to us, including information provided via booking forms you may complete and send by email or post. We retain your full contact details and other information in secure files and electronic storage facilities. We ensure that all our Antivirus and security software is up-to-date. In the event of a serious data breach we will inform the Information Commissioners Office (ICO) within the regulatory 72 hours.
The data is only accessible to employees of Pin Breaks UK Ltd unless it has been shared for the reasons outlined above.
Any new information you provide us may be used to update an existing record we hold for you.
When do we share your information?
To enable us to provide the weekends and events that you have requested we will share information to the hotel and coach company specifically related to your requested weekend. Also, as part of our postal marketing to inform you of our forthcoming weekends and promotions we will provide 3rd party printing companies with your name and postal address.
How long do we keep your information for?
We will not keep your personal information longer than it is necessary for the purpose for which it was provided unless we are required by law or have other legitimate reasons to keep it for longer (for example if necessary for any legal proceedings).
We will normally keep information for no more than 6 years after termination or cancellation of a product, contract or service we provide. In certain cases, we will keep your information for longer, particularly where a product includes liability insurances or types of insurance for which a claim could potentially be made by you or a third party at a future date, even after your contract with us has ended.
